This article is for administrators who configure report and document output, and for users who run reports and print documents in Infusion.
Many reports and documents can use more than one layout — for example, a standard customer invoice layout and a simplified version. By default, Infusion uses the default layout configured in Report Settings each time you run a report or print a document.
When your organisation needs flexibility, you can turn on layout selection so users can choose a different layout at run time.
In this article you will learn:
- The difference between reports and documents for layout settings
- How to enable layout selection in Report Settings
- How to choose a layout when you run a report or print a document
- When the layout picker appears
Reports and Documents
Infusion treats layout settings differently depending on whether you are running a report or a document:
- Reports are general outputs over a range of data — for example, Customer aged trial balance, Product valuation, or Profit & loss. Layout selection for reports is controlled by Allow report layout user override.
- Documents are outputs tied to a specific record — for example, a customer invoice, customer quote, or supplier purchase order. Layout selection for documents is controlled by Allow document layout user override.
Each setting is independent. You can allow layout selection for reports only, documents only, or both.
Prerequisites
Before you enable or use layout selection, confirm that:
- You can open Settings > Reports > Report Settings. Your role must include permission to view report settings.
- To change the layout override settings or default layouts, your role must include permission to modify report settings.
- More than one layout exists for the report or document type you want to use. If only one layout is available, Infusion uses that layout and does not show a layout picker.
Default layouts for each report and document type are still configured on Report Settings. The layout picker lets users temporarily choose a different layout when they run the output; it does not replace those defaults.

Enable Layout Selection
Layout selection is off by default. An administrator must turn it on before users see the layout picker.
- Select Settings > Reports > Report Settings from the main menu.
-
In the Miscellaneous section, set one or both of the following as required:
- Allow report layout user override — when on, users can select a different layout each time they run a report. When off, reports use the default layouts configured on this page.
- Allow document layout user override — when on, users can select a different layout each time they run a document (for example, invoices). When off, documents use the default layouts configured on this page.
- Select the info icon beside each setting for a short description of its behaviour.
- Select Save.
Turn on only the setting that matches the output type you want users to customise. A document such as a customer invoice follows Allow document layout user override, not the report setting.

Choose a Layout When Running a Report or Document
When layout selection is enabled and multiple layouts exist for that output, you can choose the layout from the run dialog.
- Open the report or document as you usually would — for example, select Print on a customer invoice, or run a report from the relevant module menu.
- Enter any required parameters in the run dialog (such as date range or customer).
- If layout selection applies, a Report layout field appears below the parameters.
- Select the layout you want from the Report layout drop-down.
- Continue as usual — for example, select Run or Print to generate the output.
If you change the selected layout after entering parameters, Infusion reloads the layout parameters for the newly selected layout. Review the fields again before you run the output.

When the Layout Picker Appears
The Report layout field is shown only when all of the following are true:
- The relevant override setting is turned on (Allow report layout user override for reports, or Allow document layout user override for documents).
- More than one layout exists for that report or document type.
- You are on the run or print dialog before the output has been generated.
If the override setting is off, Infusion uses the default layout from Report Settings even when multiple layouts exist. If only one layout exists, Infusion uses it automatically and does not show the picker.
Configure Default Layouts
Default layouts are set on Report Settings for each report and document type — for example, Customer invoice under Customer reports, or Trial balance under Financial reports.
- Select Settings > Reports > Report Settings.
- Scroll to the section for the report or document type.
- Select the default layout from the drop-down for that type.
- Select Save.
The default layout is used whenever layout selection is turned off, when the user does not change the layout, or when only one layout is available.
