    Save and Reuse Report Parameter Sets

    When you run a report, Infusion asks for parameters such as date ranges, locations, or customers. Saved parameter sets let you store those choices under a name you recognise, then apply them again whenever you run the same report.

    In this article you will learn how to:

    • Save the current report parameters as a named parameter set
    • Apply a saved parameter set when you run a report
    • Mark a parameter set as the default for a report type
    • Update or delete saved parameter sets
    • Run a report with a saved parameter set from the Reports list

     

    What Is a Saved Parameter Set?

    A saved parameter set stores the parameter values you chose for a specific report type — for example, a monthly Profit & Loss date range, or the location and product filters on a Product Valuation report.

    Each parameter set has:

    • A name (required, up to 50 characters)
    • An optional description (up to 100 characters)
    • An optional Set as default flag

    Saved parameter sets are shared across your organisation. Any user who can run the report can apply a saved parameter set for that report type.

    Saving parameter sets for your own use only, or restricting a set to certain users, is not available. All saved parameter sets are visible to users who can run the report.

     

     

    Prerequisites

    Before you save or use parameter sets, confirm that:

    • You can run the report you want to save parameters for. Your role must include permission to run that report.
    • The report has parameters you want to reuse. Reports with no parameters, or reports where you must pick a record each time (for example a single customer invoice), do not benefit from saved sets in the same way as range-based reports.

    Saved parameter sets are only available for reports. Documents such as customer invoice will not have this option available. All reports are included in the Reports list, documents are not.

     

     

     

    Where to Find Saved Parameter Sets

    Saved parameter sets appear in two places:

    • Report run dialog — when you open any report that supports parameters, a Select Parameter Set field appears at the top of the dialog if at least one saved set exists for that report type.
    • Reports > Report types — when a report has saved parameter sets, the list shows:
      • A Run report icon that uses the default parameter set when one is set (the tooltip shows the default set name)
      • A parameter-set drop-down beside the run icon, labelled Run with saved parameter set, where you can choose a specific saved set before the dialog opens

    To open the Reports list, select Reports from the main menu. The Report types tab is shown by default.

     

    Save a Parameter Set

    • Open the report you want to save parameters for — for example from Reports > Report types, or from the relevant module menu.
    • Enter the parameter values you want to reuse. You may need to scroll to view all the parameters.
    • Select Save on the report dialog.
    • In the Save Parameter Set dialog:
      • Enter a Name for the set.
      • Optionally enter a Description to help you or others recognise the set later.
      • Optionally turn on Set as default if this set should apply automatically whenever you or others run this report type.
    • Select Save.

    Parameter set names must be unique for each report type. If you enter a name that already exists, Infusion shows an error and asks you to choose a different name.

    Alternatively, you can run the report first, then select Save Parameters from the bottom left of the window.

     

     

    Apply a Saved Parameter Set

    From the report run dialog

    • Open the report as you usually would.
    • If saved sets exist for that report, select a set from the Select Parameter Set drop-down. The first option, System default, clears the saved set and restores Infusion’s normal starting parameters for the report.
    • Infusion loads the saved values into the parameter fields. Review the values, change any that need updating, then select Run Report.

    When a default parameter set exists for the report type, Infusion selects and applies it automatically when you open the report dialog.

    For reports with no parameters that require your input, Infusion may run the report immediately after applying a default parameter set.

    From the Reports list

    • Select Reports from the main menu.
    • On the Report types tab, locate the report you want to run.
    • To run with the default parameter set, select the Run report icon in that row. If a default set exists, the icon tooltip includes the default set name.
    • To run with a different saved set, open the parameter-set drop-down in the same row, then select the set you want. Infusion opens the report dialog with that set applied.

     

    Reports Opened From a Specific Record

    When you open a report from a specific record — for example Customer Statement on a customer page — Infusion treats that record as the context for the report.

    Saved parameter sets that would conflict with the context are hidden from Select Parameter Set. For example, if you open a customer statement for Customer A, sets saved for a different customer are not offered.

    If a default parameter set is applied automatically, it does not overwrite parameters already supplied by the context. Other saved values from the default set still apply.

    You may still need to confirm or change the record-specific parameter when the report is tied to a single entity, even when other parameters are loaded from a saved set.

     

    Set or Change the Default Parameter Set

    Only one parameter set can be the default for each report type.

    • When you save a new parameter set, turn on Set as default to make it the default.
    • When you save a set and another default already exists, Infusion clears the default flag on the previous set and applies it to the new one.
    • To change which set is default without creating a new set, select the set from Select Parameter Set, adjust parameters if needed, select Save, choose to update the existing set, then turn Set as default on or off as required.

    The default parameter set is used when you select the Run report icon on the Reports > Report types list, and when you open the report from elsewhere without choosing a specific set.

     

    Update a Saved Parameter Set

    • Open the report and apply the parameter set you want to change, or enter the parameter values you want to save.
    • Select Save (or Save Parameters after a preview).
    • If a parameter set is already selected in Select Parameter Set, Infusion asks whether you want to:
    • Update the selected set — replace the saved parameters with your current values, or
    • Create new parameter set — keep the existing set unchanged and save your current values under a new name.
    • Complete the Save Parameter Set or Update Parameter Set dialog, then select Save or Update.

    You can change the name, description, and default flag when you update a set.

     

    Delete a Saved Parameter Set

    • Open the report run dialog for the report type that has the set you want to remove.
    • Select the parameter set from Select Parameter Set.
    • Select the Delete icon beside the drop-down.
    • Confirm the deletion when prompted.

    If you delete the default parameter set, Infusion clears the default. The next time you open that report, System default parameters apply unless you select or save another set.

    Deleting a parameter set cannot be undone. If other users rely on a shared set, consider updating it instead of deleting it.

     

     

    Date Ranges

    For this release, when you save a parameter set that uses dates, Infusion will store them as fixed dates. When you apply the set later, the same dates will apply.

     

    Inactive Saved Values

    A saved parameter set can include specific records such as a customer, supplier, location, or job. If that record is later marked inactive, Infusion keeps the saved value when you load the set.

    • An inactive icon appears beside each affected parameter field. The hover message is Inactive.
    • Review the flagged parameters and choose a replacement value if you need an active record before you run the report.
    • You can still run the report with inactive selections loaded — Infusion does not clear them automatically.

    For parameters that use active-only lists (for example active staff or active product locations), a saved value that is no longer in the active list is also shown with the inactive icon.

     

    Tips and Limitations

    • Saved parameter sets apply to the report type, not to a specific report layout. If your organisation allows layout selection at run time, choose the layout separately after applying a parameter set. See Choose a Report or Document Layout.
    • Parameter sets do not include layout choice. They store report parameter values only.
    • If a report requires you to select a specific record (for example one customer or one invoice), you may still need to make that selection each time, even when other parameters are saved.
    • Names are compared without regard to capitalisation - 'Month End' and 'Month end' are treated as the same name for the same report type.
    • If loading a saved parameter set fails, Infusion shows an error. Your selected set remains chosen so you can try again or pick a different set.
