    Product Receipts in Smart Grid

This change will come into affect in Release 94

    Product Receipting in Smart Grid

Smart Grid updates how you work with product receipts in the Products module. When Receipting is turned on in Smart Grid Settings, the Product Receipt screen uses a Smart Grid for line items, so you can enter and edit lines in the grid instead of opening a separate line editor for each row.

    Turn On Receipting

An Organisation Admin can enable the Smart Grid Product Receipt screen:

    • Select Settings > Organisation > Smart Grid Settings.
    • Under Transaction Grids, turn on Receipting.
    • Select Save on the page header.

    Create a Standard Product Receipt

A standard receipt is not tied to a supplier purchase order (no Purchase Orders section on the screen).

    • On Products > Receipts list, select +Add.
    • Complete header fields, including To Location and Date.
    • A blank line is added by default.
    • In Line Items, use the grid to add lines:
      • Choose Type — Product, GL Account, or Note (where your process allows).
      • For Product lines, choose the product in Item, then complete Description, quantities, and costing columns as required.
      • A blank draft row stays available at the bottom while you edit so you can continue with keyboard or mouse entry.
    • Select Save to keep an unposted receipt, or Post when the receipt is complete and you have permission.

You must enter at least one line with a non-zero received quantity before you can post. Serial-tracked products require serial numbers before posting.

Create a Purchase Order Product Receipt

When you receipt from a purchase order, the Product Receipt screen includes supplier and purchase order header details and a Purchase Orders section.

You can start a purchase order receipt from Suppliers > Purchase Orders (for example Receipt on an order) or by linking purchase orders on the receipt header, depending on your workflow.

On the Smart Grid line area for purchase order receipts, extra columns can include Supplier Code, PO #, ordered and received quantities, and related costing fields. Use Column visibility to show columns you need.

    Line toolbar actions

    • Update Shipping Costs — distribute freight to received lines when your process uses shipping cost updates.
    • Receive All — fills blank receiving quantities with the outstanding quantity on eligible lines.
    • Undo Receive All — clears receiving quantities that Receive All filled on the previous action.
    • Review Labels — opens label printing review when label printing applies to the lines.

Footer totals include freight and rounding on purchase order receipts. Foreign-currency receipts show document and local totals in the footer.

Line Items Grid Tools (All Receipt Types)

Above the line grid, Smart Grid toolbar actions include:

    • Column visibility and CSV export for line data.
    • CSV import — available while editing an unposted receipt, no lines are selected, and To Location is set. Select To Location first if import is disabled.
    • Delete (toolbar) — removes selected lines while editing.

While editing, you can drag the row handle to reorder lines. Icons on the row can open product summary, serial numbers, price levels, notes, or insert and delete lines where your permissions and line type allow.

Keyboard and Mouse Entry on Line Grids

Smart Grid receipt lines support keyboard-first entry:

When the cell is in edit mode:

    • Tab moves to the next editable cell, staying in edit mode.
    • Shift+Tab moves to the previous editable cell, staying in edit mode.
    • Enter will move to the same cell in the row below, staying in edit mode, unless that row is empty, then it will go to the Item field of that row. If it is the last row, a new one will be added, and the cursor will go to the Item field.
    • Shift+Enter will do nothing.
    • Left and Right Arrows will move the cursor within the edit field.
    • Up and Down Arrows will move to the cell above or below, and go out of edit mode.

When the cell is not in edit mode:

    • Tab moves to the next editable cell, going into edit mode.
    • Shift+Tab moves to the previous editable cell, going into edit mode.
    • Enter will put the cell into edit mode.
    • Shift+Enter will move you to the same cell in the row above, and go into edit mode.
    • Arrow keys will move between the cells, remaining out of edit mode.

If a cell does not enter edit mode, select the cell once, then type or use Tab to reach the next field.

    Invalid Fields

When a field is highlighted red, either the field is required, but does not have a value, or the value is invalid. There may be a hover message with the error details. You will need to fix this before you can save or post the receipt.
