This article is for users who maintain product sell pricing in the Products module, including administrators and staff responsible for updating fixed prices across many products.
You can import Product Price Levels (Fixed Prices) from a CSV or TSV file to update existing fixed prices in bulk. The import updates price levels that already exist for active products; it does not create new products or new price level definitions.
In this article you will learn how to prepare your import file, run the import, and resolve common validation errors.
Prerequisites
Before you import product price levels, confirm that:
- You can open Products from the main menu and use Import on the Products page. Your role must include permission to set product pricing.
- Each product and price level combination in your file already exists in Infusion. The product must be active, and the price level must already be set up on the product.
- Each product has a sales GST rate configured where you are importing prices that depend on GST calculations.
- Your import file is saved as CSV or TSV (tab-separated values).
This import applies to fixed prices only. Products priced by Product Group Markup are not included when you export Active Product Price Levels (Fixed Prices). If you need to change group-markup pricing, update the product group markup or change the product’s pricing method on the product Pricing tab.
Where to Find Import and Export
To export a template of current fixed prices, open Products, open the page More Options menu, select Export, then select Active Product Price Levels (Fixed Prices).

To import updated prices, open Products, open the page More Options menu, select Import, then select Product Price Levels (Fixed Prices).

Always start from a recent export when preparing an import file. This keeps column headings and product and price level values aligned with what Infusion expects.
How Import Works
When you import a file, Infusion:
- Matches each row to an existing product Code and price level Level (the price level name).
- Updates the fixed price for that product and price level.
- Leaves products and price levels that are not in your file unchanged.
The import does not:
- Create new products.
- Create new price level definitions.
- Add a price level to a product that does not already have that level.
If a row does not match an existing product and price level, Infusion reports an error for that row and does not apply it.

File Format
The first row of your file must contain column headings. Each subsequent row represents one product price level.

* Each row must include at least one pricing value: a GST exclusive or inclusive price, or a markup or margin percentage. You can provide explicit prices, or provide markup or margin so Infusion calculates the price from the product cost.

If you provide only a GST exclusive or GST inclusive amount, Infusion calculates the other amount using the product’s sales GST rate. If you provide only markup or margin, Infusion calculates the sell price from the product cost according to your organisation’s Pricing unit cost source setting in Settings > Products > Product Settings.
Preparing Your File
To reduce import errors:
- Export Active Product Price Levels (Fixed Prices) and edit that file rather than building a file from scratch.
- In the Level column, use the price level name exactly as it appears in Settings > Products > Product Price Levels, not the price level code.
- When you change an explicit price, clear markup and margin columns on that row if you are not intentionally updating them. Leaving old markup or margin values alongside changed prices can cause Inconsistent errors.
- When you use markup or margin only, confirm the product has a cost price. Infusion uses the cost basis defined in Product Settings.
- Remove duplicate rows for the same Code and Level combination. Each product and price level pair can appear only once in the file.
- Use numeric values only in price and percentage columns. Do not include currency symbols or percent signs.
Run the Import
- Open Products from the main menu.
- Open the page More Options menu and select Import > Product Price Levels (Fixed Prices).
- When prompted, choose your CSV or TSV file.
Infusion validates the file. If every row is valid, the import completes and your product fixed prices are updated. If any row fails validation, Infusion shows an error dialog listing the row, column, value, and message for each problem. You can download the error details as a CSV file from that dialog, correct your file, and import again.
Import applies price changes as soon as validation succeeds. Review your file carefully before you import, especially when updating many products.

Frequent Mistakes
These issues often appear as Not found. or Inconsistent. errors:
- Using the price level code in the Level column instead of the price level name.
- Importing rows for products that use Product Group Markup when you expected fixed-price export data.
- Editing the GST exclusive price but leaving the old GST inclusive price, markup, or margin on the same row.
- Supplying only markup or margin when the product has no cost recorded.
- Small spelling differences in the Level column compared with the price level name in Infusion.
